What we do with your details

What we collect

The enquiry form asks for your name, mobile number, suburb or address, the type of work and whether you prefer a call or text. Email and notes are optional. You can give a suburb without giving a street address.

If you email photos or other information about the property, we use them to understand your enquiry. Only send information you are happy for us to use for that purpose. We ask separately before publishing customer project photos.

When you request a quote or book work, we keep the information needed to prepare the scope, communicate with you and manage the job. This includes the quote, invoice and correspondence relevant to it.

Where your enquiry goes

• A protected record on our website server, so an enquiry is not lost if an email or connection fails.
• Our business email inbox at contact@hipainter.com.au, hosted by Zoho Mail.
• Fergus, our job management provider, which receives your enquiry details so we can follow up and organise the work. We also use Fergus for quotes, invoices, customer text messages and payments. The job record includes relevant customer details, correspondence and transaction records.

We use these providers to handle your enquiry and job. We do not sell or rent your details, and submitting the form does not add you to a mailing list. Providers may process or store information overseas.

Calls, texts and emails

We use your contact details to respond to your enquiry, discuss your quote and keep in touch about the work. Tell us if you want to change your preferred contact method or stop receiving review requests. You can contact us by phone or email using the details below.

A review is optional. We do not offer payment or discounts for reviews.

Analytics, cookies and address suggestions

We use Google Analytics to understand visits to the website and actions such as tapping the phone number. It uses cookies and receives technical information such as the page visited, device details and IP address. We do not deliberately send the enquiry form's name, phone number, email or notes to Analytics.

If address suggestions are enabled, the text typed in the suburb or address field is sent to Google Places to retrieve suggestions. You can type your location without choosing a suggestion.

A short-lived form cookie can retain what you typed if the form needs correction, so you do not have to enter everything again. Browser settings let you control cookies. Google also offers an Analytics opt-out add-on.

Quote, invoice and payment links

We use Fergus to manage quotes, invoices and payments, and may send you a private quote or invoice link. Treat it as a private document: someone you forward the link to may be able to read it. Contact us if a link has been shared with the wrong person.

Follow the payment instructions on your invoice. Please do not send card details through the enquiry form or by email.

How long we keep information

We keep enquiry and job information for follow-up, delivering the work, warranty support and required record keeping. Ask us about a particular record if you want to know what we hold or request deletion. Some transaction and job records must be retained even after the work is finished.

Getting a copy, or getting it deleted

Ring us on 03 9118 0425 or email contact@hipainter.com.au and ask. We will explain what we hold and help with your access or deletion request.

We cannot delete records we are legally required to keep, such as a tax invoice for completed work. We will explain any records we need to retain when responding to your request.

If something goes wrong

If you think we have mishandled your details, tell us first and we will try to fix it. If you are not happy with how we handle that, you can take it to the Office of the Australian Information Commissioner at oaic.gov.au.
